Position Title:                   Administrative Assistant – Human Resources and Legal

Reports To:                         Director of Operations & Programs

FLSA Status:                       Non-Exempt

Purpose:   Responsible for initiating, coordinating and performing the clerical and administrative functions required for the Operations, Human Resources and Legal Departments.

Responsibilities:

  • Assist with calendar management, travel arrangements, and responding to emails and phone calls
  • Establish procedures to correspond with the implementation of operational and/or fiscal policies
  • Maintain confidential Human Resources and Legal documents and files
  • Compile data based on research and on statistical compilations involving an understanding of operating unit programs, policies, and procedures
  • Arrange, participate in, and implement conferences and committee meetings as directed
  • Assure that reports are completed on time and in compliance
  • Coordinate the onboarding process  for all new and rehires, including but not limited to HRIS setup, payroll setup, and ensuring completion of benefit enrollment
  • Process separation information and supporting documentation
  • Track exit interview responses for easy comparison & analysis for the executive team
  • Be an ambassador for employee morale within company
  • Maintain compliance with federal and state regulations concerning employment
  • Respond to all inquiries in a professional and timely manner
  • Conduct phone screens for Company vacancies and assist with reference checks when needed
  • Provide recruiting support i.e., scheduling interviews, responding to employment verification inquiries etc.
  • Maintain and update corporate minute books
  • Maintain and update contract tracking database
  • Draft reports as requested

  • Must demonstrate the ability to maintain confidentially
  • Advanced level Microsoft Office suite skills are required
  • Ability to effectively communicate with different personalities
  • Ability to multitask and prioritize responsibilities
  • Ability to be a self-starter who is flexible and thrives in a dynamic fast-paced environment
  • Ability to accurately deal with difficult dictation
  • Ability to perform difficult typing duties
  • Ability to see clearly at 20 inches or less
  • Ability to judge distances and spatial relationships
  • Ability to work in an environment with frequent periods of moderate noise
  • Ability to sit for long periods of time
  • Ability to use hands to finger, handle, or feel and reach with hands and arms
  • Ability lift and/or move up to 10 pounds

 

Qualifications:

Education/Experience

  • Bachelor’s degree preferred.  3+ years’ experience supporting Senior Leaders, Human Resources and Legal/Compliance groups.   Equivalent combination of education and experience may be considered

 

Language Ability

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
  • Ability to write routine reports and correspondence
  • Ability to speak effectively before groups of customers or employees of an organization

 

Math Ability

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs

 

Computer Skills

  • In order to successfully perform the essential responsibilities of the job, one must possess advanced level proficiency  with the following: Microsoft Word, Microsoft Excel, e-mail, and internet
